Shopify inventory management: method and replenishment

An unexpected stockout costs twice: the lost sale, and the customer who does not come back. Overstock costs quietly: cash tied up on shelves. Between the two, keeping accurate inventory on Shopify takes a method more than a tool. Here is the one we recommend, and what LIORA brings to it.

What Shopify handles natively, and where it stops

The Shopify admin tracks, per variant and per location, the quantities available, committed and on hand; it decrements on order and accepts manual adjustments. For a small catalogue, that is enough.

Beyond that, three things are missing day to day: an alert per reference that warns before the stockout, a replenishment calculation based on real sales rather than a hunch, and a stocktake that sets the physical count against the theoretical stock and explains the gaps. That is where management software takes over.

A minimum threshold per reference, not one global threshold

The right threshold depends on the lead time and the sales rate of each reference. A candle sold ten times a week, with a supplier three weeks away, does not have the same threshold as an accessory sold once a month. A single threshold for the whole catalogue alerts too early on some and too late on others.

Set it reference by reference, then let the tool watch. In LIORA, every reference carries its minimum threshold and triggers an alert as soon as it drops below: you no longer discover the stockout in an order that cannot be prepared.

Telling available from reserved

An order received but not yet shipped has already consumed stock. If your tool does not isolate it, you sell the same item twice on promotion day, and you find out by writing an apology email.

LIORA separates reserved stock, committed to open orders, from available stock, what can genuinely be sold. Adjusted quantities are sent back to the store, which remains the single source of truth for selling.

Replenishment is computed, not guessed

The quantities to reorder follow from two things you already have: each reference’s threshold and its recent sales. Reordering “the same as last time” ignores the season, the promotion in progress and the product that has stopped moving.

LIORA computes these quantities reference by reference, from thresholds and sales. The Replenishment module goes further: a replenishment request followed through to delivery, with its priority and the person handling it, and, if you wish, a request created on its own as soon as stock drops below the threshold.

A history that explains every movement

A stocktake discrepancy without a history is a riddle, and a riddle gets solved by recounting everything. Every movement should carry its date, its reason and the person behind it: a sale, a return, breakage, an adjustment.

That is what LIORA records for each reference, manual adjustments included, and what the stocktake then compares with the physical count. The gap shows up with its explanation, not as a bare number.

The method, in five points

A minimum threshold per reference, reviewed when the supplier or the sales rate changes. Available and reserved always kept apart. A rolling stocktake, monthly on fast movers, yearly on the rest. Replenishment computed from sales, never copied over. And one tool that sends its quantities back to Shopify rather than living alongside it.

All of this fits in one LIORA module, included in the subscription at €40 per month, with a 5-day free trial to check it on your own catalogue.

Frequently asked questions

Are quantities changed in LIORA sent back to Shopify?

Yes. Quantities adjusted in LIORA are pushed to the online store, and the sending status stays visible for every change.

Does LIORA replace Shopify’s inventory management?

No: the store remains the source of truth for selling. LIORA adds thresholds, alerts, replenishment calculation, movement history and stocktakes, then sends adjusted quantities back to Shopify.

Do I have to re-enter the catalogue to get started?

No. LIORA imports the products, variants and stock of your Shopify store when you connect, then keeps itself up to date.
